Glossary/Fund Operations

Fund Administration

The operational backbone of a private fund — encompassing accounting, NAV calculation, investor reporting, compliance, and regulatory filings.

Fund administration refers to the operational and accounting services required to run a private fund: NAV calculations, capital account maintenance, investor reporting, regulatory filings, tax document preparation, and compliance monitoring. Fund administration can be handled in-house by the GP's operations team or outsourced to a third-party fund administrator.

Core Fund Administration Functions

Key functions include: Accounting and NAV — maintaining the fund's books, computing NAV, and reconciling positions. Investor services — processing subscriptions and redemptions, maintaining capital accounts, and distributing reports. Compliance — KYC/AML verification, regulatory filings, and audit support. Tax reporting — preparing K-1s, managing tax elections, and supporting multi-jurisdiction tax obligations.

Automated Fund Administration

Traditional fund administration relies heavily on spreadsheets and manual processes, which limits scalability and increases error rates. Automated fund administration platforms digitize the entire workflow — from capital call processing through waterfall calculations to LP report generation — reducing administration costs by up to 60% and cutting reporting cycles from weeks to days. This is particularly valuable for emerging managers who need institutional-grade operations without the overhead of a large back-office team.
